How to manage inventory

The Inventory page shows live stock for every product variant across the stores you fulfil, with a per-variant movement history and manual adjustments that sync back to the store. It is a WAREHOUSE plan feature, built for warehouses that manage stock across their client organizations — and it works with Shopify and WooCommerce stores alike.

    Before you start: Inventory is a WAREHOUSE plan feature. The page appears for the warehouse organization and for warehouse staff working inside a client organization; client-side roles never see it — stock for a client organization is managed by its warehouse. On Shopify the sync also needs the OrderKrab app's inventory permissions, which the app requests when it is installed; on WooCommerce you need the OrderKrab plugin on 1.5.0 or newer.

    In the sidebar, click Inventory. Every synced product variant is listed with its Product, Variant, SKU, Barcode and Available count. A variant whose stock the store does not track shows Not tracked instead of a number.

    Find the item: search by product, variant, SKU or barcode, or narrow the list with the Store filter. The page covers every connected store you manage, so a warehouse fulfilling for several clients sees them all in one list.

    To change a stock level, click Adjust on the variant's row. Pick the Location, enter the Quantity change — a positive number adds stock, a negative one removes it, and the modal shows the current and the new count before you save — and write a short Note saying why. Click Save adjustment. The change is applied in OrderKrab and pushed to the store.

    To see how a number got where it is, click History. Every movement is listed with its cause — Receiving, Manual adjustment, a change made in the store itself, or Reconciliation — plus the quantity change and the available count it resulted in.

Good to know

  • Sync runs in both directions: a change made in Shopify reaches OrderKrab through Shopify's inventory webhooks, and an adjustment made in OrderKrab is written back to Shopify. A nightly reconciliation pass then compares the two and corrects any drift.
  • Levels are tracked per Shopify location — an adjustment applies to the location you pick in the modal, and the list shows the variant's total.
  • The sync needs the app's inventory permissions: reading and writing inventory levels, plus reading locations. A newly activated store is finished off by the nightly sync jobs — variant sync, webhook subscriptions and the first reconciliation — so allow a night or two before every number is live; the OrderKrab team can switch a store on immediately during onboarding.
  • If a change cannot be written to Shopify, its history entry says so — Syncing to Shopify while it is on its way, Shopify sync failed while OrderKrab retries. A change Shopify never accepts eventually shows Not synced to Shopify: it stops being retried and Shopify's own stock level is kept.
  • Adjustments are safe to retry. If OrderKrab cannot confirm a save went through, the modal says so — pressing Save adjustment again retries safely and is never counted twice.
  • The list mirrors each store's catalogue through the product sync. If a product never appears on the Inventory page, the store connection is the thing to check — without it there is no catalogue to show stock for.
  • Client organizations keep their orders, packing and returns exactly as before — Inventory is the one page that belongs to the warehouse. On other plans there is no Inventory page: stock control and sync is a WAREHOUSE-tier capability.
